A mid-size organisation with over 100 members of staff in the UK public sector.
The problem
The client receives a lot of GDPR data subject access requests (DSARs) from their clients. Responding to a DSAR almost always involves identifying emails relating to the subject to be collated from mailboxes of various service personnel across the organisation. This is a time-consuming activity for not only the individual responsible for responding to the DSAR but every member of staff that has to get involved to find the relevant emails. The challenge is so acute that servicing the requests within the 30-day time-limit is often difficult to achieve.
How infoboss can help…
Infoboss can ingest emails from your Office 365 tenant into a single searchable data store. This process extracts and collates the meta-data, email body text, subject and even attachments into the store. Then using other features of the software additional processing can be undertaken to classify and enrich the content with further meta-data to more easily identify records of interest. Furthermore, the searchable repository is updated daily so any new emails are automatically being included in the store.
Using powerful search and analysis features within the software emails can be filtered by user/date/recipient and more, searched, analysed and then extracted for further processing. For example, once the emails of relevance to the DSAR have been identified they can be quickly exported to a ZIP folder where a redaction process can then take place.
Benefits
Previously servicing a DSAR involved several members of staff having to use their email client applications to identify emails of interest. This was a time consuming and labour intensive process. It is now possible for a single person to search the email repository in minutes to satisfy a variety of search requirements to obtain emails of interest.
The use of infoboss has also opened up further benefits such as identifying where payment card details are being stored in emails contravening PCI_DSS requirements. It has also enabled the compliance team to identify mailboxes that contain emails that have fallen outside of the organisation’s email retention policy dates.
